Overview

First Presbyterian Church, Covington, TN is seeking a full-time Church Administrator who will help manage the day to day operations of the church.  Qualified candidates will have strong organization and communication skills, an understanding of generally accepted accounting procedures, and proficiency with office software and social media.  The Church Administrator will manage the church office, finances, facilities, and assist the pastor and other ministry leaders.  He or she will maintain officer hours through the week and assist with logistics during Sunday morning and Wednesday evening programs.

Although we are nearly 200 years old as an institution, the congregation has many young families and children.

Covington, TN is a small-town of about 10,000 people about an hour’s drive north of Memphis.  Covington, the county seat of Tipton County, it a wonderful place to live, work, play, and raise a family.  From our vibrant downtown court square, our expansive industrial parks, to our historic residential areas, Covington has much to offer.  We host the world’s oldest BBQ cooking contest, a fall Heritage Day and a Dickens Christmas around the historic court square, Music on the Square in the early summer, and many other family friendly activities.  The Church is located just two blocks off the town square.

Qualifications:

  • Professing Christian whose life is consistent with a follower of Christ
  • Bachelor’s degree (preferably in a business field i.e. management, accounting, or finance) or at least 3-5 years’ experience is a comparable field.
  • Works well in a support role as part of a team and with a diversity of people
  • Requires little supervision, demonstrates good judgment, strong organization, attention to detail and takes initiative
  • Strong communication skills
  • Proficiency with computers and ability to use or learn: Office, Church Accounting and Management Software, Website and Social Media, (MS Office, G Suite, Shelby Next, Planning Center Online, Nucleus, Facebook, Instagram, Mailchimp)
  • Experience working (paid or volunteer) in a Church environment
  • Will maintain strict confidentiality
  • Able to pass a background check and eligible for fidelity bond

Desired Qualifications:

  • An understanding of the Presbyterian form of Church structure
  • A sense of aesthetics
  • A knowledge of the local community (Covington, TN/ Tipton County) and resources available

Time Requirements:

  • 40 hrs / week minimum
  • Maintain office hours 8-3, four days a week on a set schedule
  • Attend Sunday morning and Wednesday evening services and programs
  • Occasional evening meetings and special events (weddings, funerals, etc…)
  • Be available as emergency contact outside of office hours (fire alarm, scheduling issues)

Duties:

The Church Administrator is responsible for the day to day operation of the church, managing the office, finances, and facilities as well as providing support to the pastor and other church officers.

Office Management:

  • Maintain office hours four days a week 8-3 to be available for calls, deliveries, electronic communications, be point of contact for members and visitors during office hours
  • Oversee daily administrative operations of the church
  • Maintain communications: printed, church website and Social Media
    • Weekly bulletin
    • Monthly printed calendar
    • Weekly Media uploads to website
    • Facebook Page
    • Online calendar
  • Oversee employee records
  • Learn and maintain basic IT functions/ software knowledge: MS Office, Shelby Next, Nucleus, Planning Center, G Suite, Mailchimp
  • Coordinate with others who use facilities: Nursery School, AA, Weight Watchers, Legal Clinic, etc…
  • Maintain membership contact information and records
  • Maintain church roll, minutes and provide annual statistical report
  • Meet with Administration Committee as needed

Financial Management:

  • Work with appropriate committees to oversee preparation and implementation of regular budget and financial reports for Session, Diaconate, Staff, and congregation.
  • Maintain all principle accounting for the church including member donations, receipting, capital campaign pledge tracking, accounts payable, etc..
  • Oversee employee compensation and benefits, including management of sick leave and vacation time
  • Maintain legal and/or tax-related documents filings
  • Provide regular statements of giving and acknowledgements of memorial gifts
  • Oversee insurance needs, employee enrollment, liability recommendations, etc.
  • Maintain all vendor accounts
  • Meet with Stewardship Committee as needed

Facilities Management:

  • Oversee use of facilities
    • Scheduling
    • Setup/Takedown for worship and other events (weddings, funerals) – staying on site until tasks completed, ensuring usage policies are followed and problems resolved
  • Work with appropriate Committees in Overseeing Maintenance of facilities: properties, HVAC, van, sound and office equipment
  • Overseeing contract workers (Cleaning and Lawn Care)
  • Assist with administration of Mt Carmel Cemetery
  • Purchase supplies
  • Assist with keeping facilities in functional, clean and orderly fashion
  • Meet with Property Committee as needed

Assist the Pastor:

  • Work with pastor, session clerk, and chair of deacons to prepare agendas, minutes, and support materials for meetings
  • Assist in worship services and events my ensuring areas are covered/ troubleshooting
  • Provide administrative assistance to the pastor including assistance with calendar and intercepting interruptions from study, meetings and counseling.

Support other ministry leaders:

  • Provide advice and recommendations regarding administration to session and administrative committee.
  • Assist in scheduling and follow up with volunteers (nursery help, Sunday school teachers, lock up, etc.…)
  • Help with diaconal assistance (maintain records, distribute financial assistance as directed by deacons)
  • Help Coordinate work of committee chairs
  • Meet with session and diaconate as needed
